Simple Steps to Membership Renewal
Individual Membership Renewals are due prior to their expiration date, the end of each month
Unit Membership Renewal due: Friday, January 31 2025 for unit expiring 2/28/2025
A complete unit membership renewal means:
- Validation of adult leadership positions either online or signed paper submitted to the council office
- Payment of $100 unit charter fee either online or submitted to the council office
- Submission of Annual Charter Agreement (or variation for specific units, like council sponsored units) through your district executive
On time unit membership renewal means ALL THREE above requirements are complete and submitted to the council office on or before Jan 31, 2025.
Earlier this year Scouting America launched a new membership renewal process separate from the Unit Charter renewal. This new process syncs with each member’s annual enrollment date. Members (youth & adult) join Scouting year-round, and their membership fees are tied to the month of their enrollment.
Although individual members receive direct communication from Scouting America on when and how to renew their individual membership the unit leadership can handle renewals for all members.
Unit Key 3 leaders (Unit Leader, Committee Chair, Chartered Organization Rep) still have the best and most efficient way to complete the member renewal process for their unit members, both youth & adult.
Unit Key 3 leaders can follow this simple 3-step process to renew their unit’s members. You can renew members (youth and adult) at any time starting 60 days before their expiration date. Renewals are encouraged to be completed prior to the expiration so there is no lapse in insurance coverage and access to Scoutbook+ is not interrupted.
Here are the Simple STEPS for a Unit to Renew Members:
- A Unit Key 3 leader will log into to my.scouting.org
- Select MENU
- Make sure the correct unit is in the Organization box, or use the drop down menu to select the desired unit
- Then Select Organization Manager
- Then Select Roster
- Select MENU
- Now Select the Youth & Adult members you want to renew
- Click the box to the left of the name
- Adults must be YPT compliant to renew their membership.
- If paying online, click “Renew”
- Pay online by Credit Card- follow prompts to use a saved credit card or add a new card
- The membership renewal process is now complete- no further action is needed
- Pay online by Credit Card- follow prompts to use a saved credit card or add a new card
- If paying at a Council office, click on “Print”

- Chose “Unit Payment of Membership Renewal”
- Download and Print the pdf document
- A key 3 leader sign the document
- Submit the signed document to the Council office with check payment

Here are the STEPS for a Unit to Renew its Annual Charter:
- A Unit Key 3 leader will log into to my.scouting.org starting January 1st, 2024
- Select MENU
- Make sure the correct unit is in the Organization box, or use the drop down menu to select the desired unit
- Then Select Organization Manager
- Then Select Unit Renewal
- Select MENU
Validate the Information

- Are the adults listed in positions, correct? Make changes if needed.
- Is YPT current for adults? This is a must!
- If paying online:
- E-Sign the Page once the above are completed
- Review Unit Pin (This is the BeaScout.org Unit locator Pin) Make changes if needed
- Pay online by Credit Card- follow prompts to use a saved credit card or add a new card
- Coordinate with your District Executive to submit your Annual Charter Agreement
- If paying at a Council office:
- Select “Click here for pay at the council option”
- Create the pdf and print it
- The printout MUST BE SIGNED BY THE CHARTERED ORGANIZATION REPRESENTATIVE OR EXECUTIVE OFFICER
- Submit the signed printout along with a check for $100 made out to “Natural State Council” with “Unit {insert type and number} renewal fee” in memo line to a council office.
- Coordinate with your District Executive to submit your Annual Charter Agreement
